Guidance for construction records in Spain

Construction photo reports: images with context, not an unexplained folder.

Don't send another folder of images without context. Link each photo to a location and your comment so the client can understand the state of the works.

What is a construction photo report?

It explains site conditions through selected photographs and comments. Each image is tied to a date, location and observation so another person understands what it shows and why it was recorded. It can communicate progress, document an issue or follow a correction between visits.

When to use this document

  • To update the client without requiring an in-person visit.
  • When recording an issue or detail needing follow-up.
  • When comparing observed conditions between visits.

A useful structure for a photo-based site report

  • Project, visit date, author and report purpose.
  • Visit scope, including areas not accessed.
  • A stable number or reference for each photo.
  • Floor, room, element and drawing reference where available.
  • A factual caption without diagnoses the image cannot support.
  • Progress, issues and next checks linked to the relevant photos.

How to prepare a photo report without losing context

  1. 1

Define what you need to explain

A progress report and an issue follow-up need different selections. Set the purpose before collecting repetitive images.

  2. 2

    Order by zone and number

Use a clear route by floor, room or work section. Keep each image linked to its note.

  3. 3

    Describe what can be observed

Add the location and observation. Distinguish visible facts from causes requiring investigation and record limitations.

  4. 4

    Check and plan follow-up

Check the date, caption match and legibility. Use a recognisable viewpoint for comparisons and retain the original context.

Common mistakes

  • Sending images without dates or locations.
  • Cropping away the context needed to understand a detail.
  • Claiming a defect's cause from a photo alone without the necessary technical checks.

Content example

Construction photo report

Photo 03 · Level 2, north zone

An unfinished area is observed at the junction between the enclosure and slab.

Visit comment

The detail is recorded for review with the responsible team. The image does not show the internal layers.

Follow-up

Include a new photo of the location after checking the finish.

Fictional, shortened example. Not a valid document for signature or certification.

What to check in Spain

The content must fit the appointment. A photo-based progress report is not automatically an expert report, complete inspection or certification. Check for personal details or unrelated people visible before distribution. If submitting it to an authority, verify the recipient's requirements.

Practical guidance from DocuSite. Not an official form or a substitute for review by the responsible professional or the requirements applicable to your project.

Questions about this document

Your 3 free documents are activated after you verify both your phone number and email in the app.

What goes into a construction photo report?
Selected images with project and visit details, locations and comments. It may cover progress, issues and outstanding checks, depending on the report's purpose.
Does AI detect defects in the photos?
This workflow relies on the professional's observations. Do not assume automatic diagnosis: a photograph alone cannot verify all construction conditions.
How do I avoid photos without context?
Specify the zone or floor, drawing reference and what each image is meant to explain. Explicitly state if a detail is not visible or was not checked.
How many photos should a report contain?
Enough to explain its scope without repeating information. There is no number that guarantees quality. Use a contextual view plus relevant details, with captions that make them understandable.
